Mount Jubilee Ministries was established 2005 as a non-profit 501(C)(3) faith based organization to partner with individuals with intellectual and developmental disabilities, their families and our community to help provide opportunities for productive living.  MJM is a grassroots organization commissioned to provide alternative programs and services for the mild and moderate teen and adult I/DD community.  
Job Description:  Part time (5-10 hours p/w)
Pay Rate $10.00 to $12.00 p/h, based on experienceFlexible hours.
Job Brief:
MJM is looking for a responsible Administrative Assistant to perform a variety of administrative, clerical tasks and marketing duties. Duties of the Administrative Assistant include providing support to our Board of Directors, employees and committee chairs, assisting in daily office needs and managing our general administrative activities.

Administrative Assistant Responsibilities:

  • Handle administrative requests and queries for the organization and Executive Director
  • Organizing and schedule appointments with administrative software
  • Planning meetings and taking detailed minutes
What does an Administrative Assistant do?
  • Administrative Assistant responsibilities include making meeting arrangements, preparing reports and maintaining appropriate filing systems.
  • The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel, Outlook, Google, PowerPoint, Facebook and social media.
  • Previous experience as a Secretary or Executive Administrative Assistant and familiarity with a non-profit organization would be significant.
  • Marketing experience and writing skills would be significant.
  • Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-­ to-day operation of MJM.
  • Answer and direct phone calls
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Development and completion of newsletters
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Maintain contact lists
  • Provide general support to inquiries, donors, prospective donors, Board members, etc.
  • Proven experience as an administrative assistant, virtual assistant or office assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask
  • Capacity for working independently
  • High School degree; additional qualification as an Administrative Assistant or Secretary with marketing experience will be a plus
